Overview
Caregiver Instructions are notes saved in Zemplee to help caregivers understand a Member's routines, preferences, and other important information.
Once saved, these instructions can be accessed through the Member's Zemplee-enabled Alexa device using the Zemplee Health skill. Caregivers can listen to the instructions without logging in to the Zemplee portal.
This guide covers two processes:
- Part 1: Adding Caregiver Instructions in Zemplee (Organization Users and Family Users)
- Part 2: Accessing Caregiver Instructions using Alexa (Caregivers)
Before You Begin
- The Member must have an active Zemplee-enabled Alexa device.
- To add instructions, you must be an Organization User or a Family User with access to the Member in Zemplee.
- To access instructions through Alexa, the caregiver must have the Member's passphrase.
Part 1: Add Caregiver Instructions in Zemplee
Step 1: Open the Daily Activity Page
Navigate to the Member's Daily Activity Page.
Step 2: Open Daily Notes
Click Daily Notes. A window opens on the right side of the screen, displaying the notes created for the Member.
Step 3: Add a New Note
Click Add at the top of the window.
Step 4: Select a Date
Select the date for the note.
Step 5: Label the Note
In the Notes box, enter Caregiver Instructions.
Step 6: Enter the Instructions
In the Caregiver Instructions box below the Notes box, enter the instructions you want the caregiver to hear through Alexa.
Important: Enter the label in the Notes box and the actual instructions in the Caregiver Instructions box.
Step 7: Save the Note
Click Save at the bottom of the window.
Tip: Write instructions using short, clear sentences. Alexa reads the instructions aloud, so simple wording makes them easier for caregivers to understand.
Part 2: Access Caregiver Instructions Using Alexa
Step 1: Obtain the Member's Passphrase
The caregiver needs the Member's passphrase to access the instructions.
An Organization Admin, Organization User, or Family User with the appropriate permissions must provide the passphrase to the caregiver.
To locate the passphrase in Zemplee:
- Open the Member's Profile.
- Navigate to the Personal Info section.
- Locate the passphrase under Lockbox.
Security reminder: Share the passphrase only with authorized caregivers who need access to the instructions.
Step 2: Open the Zemplee Health Skill
Say:
"Alexa, open Zemplee Health."
Alexa opens the skill and explains which requests are available.
Step 3: Request the Caregiver Instructions
Say:
"Caregiver Instructions."
Alexa asks:
"What is your passphrase?"
Step 4: Provide the Passphrase
Say the Member's passphrase aloud.
If the passphrase is correct, Alexa confirms it and asks which instructions you want to hear.
The available options are:
- Latest instructions
- Instructions for a specific day
- Unread instructions
Step 5: Select the Instructions You Want to Hear
For example, to hear the latest instructions, say:
"Latest Instructions."
Alexa responds with "Here are the requested instructions" and reads the applicable Caregiver Instructions aloud.
Step 6: End the Session
When Alexa finishes reading the instructions, she asks:
"Anything else?"
Say "Nothing else" to end the session.
Quick Tips and Troubleshooting
- Keep the passphrase private: Share it only with authorized caregivers who need access to the instructions.
- Protect the Member's privacy: Since Alexa reads the instructions aloud, access them in a setting where unauthorized individuals cannot hear the information.
- Check the selected date: If the caregiver hears older instructions than expected, verify that the note was saved with the intended date.
- If Alexa doesn't understand: Say "Alexa, stop," and restart from Step 2.
- If the passphrase is incorrect: Verify the passphrase in the Member's Profile under Lockbox, provided you have the necessary permissions.
